PURPOSE OF THE POSITION: This position will administer and coordinate all scholarships including institutional, state and private programs. In addition, the Scholarship Coordinator & Financial Aid Counselor will serve as part of the financial aid counseling team to provide quality customer service in the delivery of student aid to prospective and current students and assures compliance with federal, state and institutional guidelines.
RESPONSIBILITIES & DUTIES: The Scholarship Coordinator & Financial Aid Counselor will be responsible for counseling students, applicants and parents on all aspects of the financial aid process: determining and monitoring students’ eligibility for federal and state student aid programs; and assuming major program responsibilities for one or more financial aid programs. In addition, the Scholarship Coordinator & Financial Aid Counselor will administer and coordinate complex categories of scholarships, including but not limited to donor-directed, departmental, and external, which requires independent thinking and professional judgment. Makes recommendations on CSU and departmental scholarships and selects recipients based on application data and awarding criteria. Under general direction from the Executive Director of Financial Aid & Scholarships creates, maintains and updates scholarship priorities, policies and procedures. Develops and maintains the scholarship website for on-line scholarships applications which include but are not limited to awarding criteria, award history and payment reconciliation using PeopleSoft to balance and reconcile scholarship awards. Coordinates all outside scholarship/grant resources to be added to the financial aid package to ensure overall awards do not exceed the cost of attendance. Recommends and assists in implementation of initiatives and changes to improve quality and student services. Identifies and determines causes of problems; develops and presents recommendations for improvement of established processes and practices. Prepares progress reports, informs supervisor of project status and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions. Prepares and submits scholarship reports as requested and required. Implements guidelines to support the functions of the counseling unit. Determines the importance of each task and completes functions according to established deadlines and changing priorities. Maintains knowledge of student aid programs, including Pell Grant, FSEOG, EOP, Cal Grant, FWS and Direct Loans. Explains the financial aid award cycle, answers questions related to financial aid and scholarship award process, etc. and communicates to students and parents. Using appropriate federal, state and institutional standards, evaluates information provided by financial aid applicants to determine eligibility for specific types of student aid. In special cases, involving unusual and highly complex circumstances, exercises professional judgment based on experience and a thorough knowledge of appropriate Federal Regulations. Provides financial aid counseling to prospective and current students and families through email, telephone, and in-person and virtual appointments. Must be able to maintain a positive, effective, working environment between Financial Aid & Scholarships office and other areas on-campus. Plans, counsels, and uses professional judgment and effective decision-making to ensure that the student population is processed efficiently and effectively. Attends conferences and workshops regarding financial aid eligibility criteria and processes. Conducts financial aid presentations in individual and group settings to on-campus and off-campus constituents. Performs financial aid verification, packages and awards financial aid, monitors satisfactory academic progress and assists in census processing. Position may require some evening and weekend travel. Performs additional related duties as assigned.
SUPERVISOR/OTHER WORK RELATIONSHIPS: Reports directly to the Executive Director of Financial Aid & Scholarships and works closely with Advancement, Finance, Student Business Services and various on-campus departments.


Qualifications:
A Bachelor's degree from a four-year college or university and a minimum of three years of professional experience working in financial aid. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. Ability to perform accurately in a detailed-oriented environment, handle multiple priorities, and organize and plan work projects, strong oral and written communication skills; and ability to compose and appropriately format correspondence and reports. Thorough knowledge of the principles and practices of financial aid and the ability to apply knowledge to situations where precedents do not exist or are ambiguous. The ability to create solutions to student problems that integrate the full range of University resources. Must be sensitive to the needs of individuals while maintaining the legal and fiscal integrity of Federal, State and Institutional student aid programs. The ability to analyze complex situations and determine appropriate courses of action while engaged with students in personal interactions of a sensitive nature. The ability to work and communicate effectively with a diverse population of students, faculty, staff, the community and the ability to function as a member of the financial aid team. Familiarity with modern office technology (Microsoft Suite) is essential as well as working knowledge of the electronic processes used in financial aid. These include but are not limited to Common Origination and Disbursement (COD), FAA Access to CPS Online, National Student Loan Data System (NSLDS), and WebGrants, and Electronic Loan Management (ELM) System. Preferred but not required, experience with PeopleSoft, Scholarships and AcademicWorks scholarship software.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.
