POSITION PURPOSE

The Associate Director of Financial Aid Services is a key leader in Whitman's Financial Aid Services team, serving as the back-up when the Director is away. The Associate Director assists with the processing and administering of financial aid for incoming and returning students and has a special emphasis on the efficient use of technology to maximize accuracy and efficiency. The Associate Director also serves as the point person for multiple offices at Whitman that interface with the Financial Aid Office, with a particular emphasis on serving as liaison to the Office of Admission.

WORKING CONDITIONS

Hybrid Work Environment: This position has the possibility to work remotely up to 1-5 days per week, with in-person work required at least once per quarter.

PRINCIPAL ACCOUNTABILITIES

• Work collaboratively with students and families who contact the Financial Aid Office for financial aid counseling, including greeting visitors and answering phone calls and emails.
• Maintain a welcoming, inclusive, and professional approach in working with students and families.
• Serve as the liaison with the Office of Admission to ensure the strategic use of financial aid to achieve enrollment goals.
• Liaise with Whitman College Technology Services (WCTS) and Admission staff to ensure effective use of technology to ensure accurate and efficient processes.
• Work with staff from multiple departments to coordinate the release of admission decisions, early financial aid guarantees, and special financial aid programs, such as the Garrett-Sherwood Scholarship, President Scholarships in Music, Theatre, Debate and Art, and Music.
• Provide back-up to the Director for federal & state regulatory reporting.
• Remain up-to-date on all federal, state, and institutional financial aid regulations to ensure consistent, equitable, and compliant administration of financial aid funding.
• Review FAFSA & CSS Profiles to perform need calc analysis used in determining eligibility for both institutional and federal financial aid for incoming & returning students.
• Create financial aid awards and modify financial aid packages based on changes to ensure timely delivery of financial aid award notification to students and meet invoicing timelines.
• Manage the administration of the Federal Direct Loan program, including origination, disbursement, and regulatory disclosures in accordance with federal and state regulatory requirements.
• Manage the administration of the Washington State grant programs, which includes verifying student eligibility, requesting reimbursable grant funds from the state, completing quarterly reconciliations and year-end close for all Washington State financial aid programs.
• Assist the Director of Financial Aid in the creation, implementation, update, and management of institutional policies and procedures based on federal, state, and institutional regulations and policies.
• Review and process professional judgment and financial aid appeal requests submitted by students and families.
• Provide financial literacy and outreach support by participating/presenting at events such as Whitman\'s Summer Fly In Program, New Student Orientation, admission visit days, virtual presentations, high school financial aid nights, etc.
• Supervise 1-2 student employees in the Financial Aid Office.
• Serve on Whitman working groups, hiring committees, and teams, as needed.

• Complete other duties as assigned by the Director of Financial Aid Services when bandwidth is available.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

Must be able to explain and/or demonstrate possession of the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation. Specifically,

• Demonstrate excellent office and computer technology skills.
• Demonstrate a high degree of computer literacy, including Word, Excel, Internet and databases.

• Strong interpersonal skills, and the ability to communicate effectively both orally and in writing.

MINIMUM QUALIFICATIONS

• 5 years of experience in financial aid or higher education, or an equivalent combination of education, experience, and financial aid training.

PREFERRED QUALIFICATIONS

• Bachelor's degree.
• Financial aid experience.
• Supervisory experience.
• Local to the Walla Walla region or willingness to relocate to the area.
