This position supports the Associate Director in managing federal aid programs and is responsible for daily operations to ensure program integrity. This role supervises financial aid counselors, leading by example to ensure they follow policies and procedures while maintaining high service standards. The Assistant Director coordinates the awarding, disbursement, and reconciliation of federal, state, and institutional aid, providing timely and accurate processing of student aid records.

In addition to advising students and families on financial aid eligibility, loan requirements, and special circumstances, this role applies policies and procedures to efficiently process student financial aid applications. The Assistant Director helps develop and maintain policies and procedures, ensures compliance with regulations, and presents financial aid information to various audiences. Collaborating with leadership, this role plays a key part in planning and evaluating office activities.

Provide Financial Aid Counseling Services by:
Providing comprehensive financial aid counseling to diverse students and families, supporting them through FAFSA filings, answering inquiries and guiding the application process for financial aid and scholarships
Participating in outreach events, developing informational materials, and advising on eligibility, appeals and professional judgments
Using admission and financial aid data to evaluate and process student aid packages, ensuring accuracy in eligibility determination and coordination with external agencies
Maintaining compliance with federal, state, institutional, and NCAA regulations by managing accurate records, exchanging data and reconciling financial aid information with internal and external systems to ensure program integrity

Manage financial aid counselors by:
Supervising, hiring, evaluating and training to ensure proper implementation of office and institutional policies and procedures
Developing, enhancing and providing training to assure excellent service to students
Planning professional development and leading by example

Provide current and technical expertise in student financial aid by:
Maintaining current knowledge on federal, state and institutional regulations
Creating and maintaining policies and procedures involving office procedures and federal, state and institutional regulations
Presenting professional presentations to both internal and external groups regarding financial aid information
Managing the awarding, disbursement and reconciliation of federal, state and institutional financial aid funds to students using the Banner system
Assisting with annual audits

Maintain the compliance and integrity of programs by:
Bringing issues and solution options to the attention of the leadership team
Ensuring all programs meet regulatory requirements
Participating in professional development through professional associations
Checking the work of others to assure quality and consistency
Assisting in the preparation of institutional, state and federal automated reports (including Title IV reports)

Support University Operations by:
Collaborating with various student services teams across the University of Idaho to promote, recruit and retain students
Contributing to overall enrollment efforts.
Providing essential support to the Student Financial Aid team by representing the Director in their absence, filling in for absent staff, assisting with policy and procedure development and advising on office management
Other duties as assigned to ensure the smooth operation of the financial aid office and enhance the student experience

Qualifications:
Required Experience
Two years professional work experience

Required Education
High School Diploma or equivalent

Preferred
Bachelor’s Degree or Master’s Degree
Experience Working in higher education
Supervisory experience
Experience working with management information systems and software programs
Proficiency with technology and working with IT partners to develop, test and launch technical financial aid processes or systems
Demonstrate strong organizational skills
Ability to act independently, take initiative, build consensus and exercise sound judgement
Ability to communicate articulately, work cooperatively and harmoniously with staff and students
National Association of Student Financial Aid Administrators (NASFAA) credentials or Financial Aid Administrator (FAA) Certification
